Pepper is a WhatsApp-based family assistant in an early prototype stage. This policy explains how we handle information when you message Pepper.
Who is responsible for your information
Kaizen Technologies Ltd. is responsible for Pepper. For privacy questions, requests, or concerns, email us at hello@trainerx.ai.
What we receive
When you message Pepper through WhatsApp, Meta provides us with your WhatsApp identifier and the content of your text messages, photo and document captions, images, and PDF documents. We also receive technical information required to deliver and secure the service, such as message identifiers and webhook request data.
How we use it
We use your message to generate a reply from Pepper and send it back to you in the same WhatsApp conversation. We use technical information to secure the webhook, prevent duplicate replies, and diagnose faults.
Pepper reads photos and PDFs using OpenAI and stores a generated text summary for follow-up questions. Original images and PDFs are processed temporarily and are not saved in Pepper’s database. Provider retention policies still apply. Pepper stores your text conversations, saved events, and a short family profile so it can remember details you share and understand follow-up messages. Recent messages, saved event records, and family facts are included when generating replies. It does not connect to your external calendar. Optional Gmail access is described below. We do not use messages to send marketing or make decisions with legal or similarly significant effects.
Optional Gmail connection
If you connect Gmail, Google grants Pepper read access to your mailbox. With your separate consent to automatic organisation, Pepper checks the last 7 days of Gmail first, then the rest of the past 30 days, for school names saved in your family profile and chosen school sender addresses or domains. She can learn school-owned email domains from matching notices and use them to check new mail in the background. Matching email contents can be processed and relevant events and tasks saved without reviewing every message. Pepper can send WhatsApp progress and completion messages for this import. You can pause automatic checks or choose to review an email yourself. Pepper cannot send, change or delete email.
Matching email text and supported attachments are sent to OpenAI to extract information relevant to your family. We store your connected email address, chosen senders, encrypted access credentials, review proposals and source identifiers alongside the items you approve. We do not store original email bodies or attachment files in Pepper's database. Provider retention policies still apply. Review links and sessions expire; expired drafts cannot be approved.
Send DISCONNECT GMAIL or use the connection page to remove Pepper's stored access credentials and request revocation at Google. Previously approved events, tasks and source references remain. Sending /forget removes the active family profile and its associated Gmail records as well as saved events, tasks and chat history. You can also remove Pepper's permission through your Google account connections. Gmail data is used to provide these features, not for advertising or training general-purpose AI models. Pepper's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
Services that process information
Pepper uses Meta's WhatsApp Business Platform to receive and send messages, OpenAI to generate replies and identify family facts, Supabase to store conversation history, events, and family profiles, and Vercel to host the service. These providers process information on our behalf or under their own applicable terms and privacy notices. Processing may take place outside the United Kingdom or European Economic Area, subject to the safeguards used by those providers.
How long we keep information
Conversation history, events, and family profiles remain in Pepper's database until you clear them by sending /forget as a separate WhatsApp message or request deletion. This removes the active profile, saved events, and chat history. Message identifiers without their text or sender number are retained to prevent repeated webhook deliveries from restoring deleted information. This does not delete messages from your WhatsApp app. Provider backups and other service data follow those providers' retention policies.
Our basis for using information
We process information to provide the response you request when you send a message to Pepper, and for our legitimate interests in operating a secure and reliable service. Please avoid sending information that is not necessary for this early prototype, especially sensitive information about children or other people.
Your choices and rights
Depending on where you live, you may have rights to ask for access, correction, deletion, restriction, objection, or a copy of your personal information. You can stop using Pepper at any time. To make a request, use our data deletion page or email hello@trainerx.ai. We may need to confirm that a request came from the relevant WhatsApp account.
If you are in the UK and are unhappy with how we handle your information, you may complain to the Information Commissioner's Office.
Changes to this policy
We will update this page when Pepper's features or data practices change. The date above shows when it was last updated.
